1Create an invoice
- Go to Invoices → New invoice and pick a client, or add one on the spot.
- Add line items with quantity, unit price and a tax rate per line. Add a discount if you need one.
- Choose the currency. It defaults to the client's currency.
- Pick the payment methods to print on the invoice and add notes for the client.
The number is filled in from your numbering settings. Starter includes 50 invoices a month; Professional has no limit.
2Send it
Send emails the invoice from your own mailbox with the PDF attached and a link to the online invoice page. The email text can be in English, Italian or Spanish, and you can edit it before sending. If you send invoices another way, use Mark as sent and download the PDF.
The online invoice page shows the invoice, a PDF download and, if you connected Stripe, a Pay by card button. The link is long and random, so only people you give it to can open it.
3Statuses
| Status | Meaning |
|---|---|
| Draft | Not sent yet. Not counted as outstanding. |
| Sent | Emailed or marked as sent. |
| Viewed | The client opened the invoice email. |
| Overdue | Sent or viewed, and the due date has passed. |
| Paid | Payments recorded on it cover the total. |
| Void | Cancelled. Kept for your records, excluded from totals. |
Every invoice has a timeline: created, sent, viewed, each payment and who matched it.
4Reminders
On an unpaid invoice, Send reminder emails the client a short note with the link and the amount still due. Reminders are sent when you click, not on a schedule.
5Edit, void and merge
You can edit an invoice at any time. To cancel one that was already sent, Void it and create a new one; the voided invoice keeps its number so your sequence has no gaps. Invollc does not create a separate credit note document and does not process refunds; refund a card payment from your Stripe dashboard and then remove the payment from the invoice.
To bill several small invoices together, select them in the list and Merge them into one.
6Personal invoices
If you also invoice as a private person in your home country, use Personal invoices. They have their own numbering and their own sender details, and they never mix with the LLC's invoices or totals.
