1Add contractors
Open Contractors and add the freelancers and agencies the LLC pays: name, email, country, person or company, and whether they are a US person. When you record a payment to them in Expenses, pick them in Paid to a contractor; each one's yearly total adds up on its own.
2W-9, W-8BEN, W-8BEN-E
| Contractor | Form |
|---|---|
| US citizen, green card holder, US resident, or a company formed in the US | W-9 |
| A person outside the US | W-8BEN |
| A company outside the US | W-8BEN-E |
Invollc picks the form from what you entered and links the official PDF on irs.gov.
3Collect the form by email
Click Request form. The contractor gets an email, in English, with a link to a page in their language (English, Italian, Spanish or French) where they download the IRS form and upload it signed. The file is stored privately; only you, and the people on your team, can open it. You can also upload a form you received another way.
4Who needs a 1099-NEC
A US contractor paid $2,000 or more in a year from 2026 ($600 for 2025 and earlier) is flagged 1099-NEC. Contractors outside the US with a W-8BEN do not get one. The flags appear once your accountant has checked the year (see accountant review); until then the totals are visible and the flags are hidden. The year-end pack includes a CSV of contractors, totals and flags, and their forms.
Invollc keeps the forms and the totals. It does not file 1099s and it is not tax advice. Part of Professional.
