1What comes in
- Customers with email, phone, address, country and tax ID.
- Invoices with number, dates, client, currency and how much was paid. Paid amounts become payments, so your reports start complete. With the Sales by Customer Detail report, the invoice lines come in too.
- Expenses (expenses, checks, bills and card charges) with vendor, description and a category picked from the QuickBooks account.
- Contractors: vendors you track for 1099 in QuickBooks.
2Export from QuickBooks
- In QuickBooks Online, open Settings → Export data, choose the lists and export the customer and vendor lists.
- Open Reports, search Invoice List, set the dates (for example, all of last year and this year) and export it to Excel. Keep the Open balance column: it tells Invollc what is still unpaid.
- Do the same with Transaction List by Date for the expenses, and, if you want the invoice lines, Sales by Customer Detail.
You can upload the files one by one, together, or as the ZIP QuickBooks gives you.
3Import into Invollc
Go to Settings → Import and drop the files on Bring your QuickBooks history. Invollc recognises each file by its columns and shows what it found: new clients, invoices (and how many are paid), expenses and contractors, with the dates and totals. Nothing is saved until you click Import now. Only the owner or an admin can import.
4Good to know
- Importing twice is safe: invoices already in Invollc (same number) and expenses already there (same date, amount and vendor) are skipped.
- Imported invoices never trigger automatic reminders to your clients, and they do not count toward the monthly invoice limit of Starter.
- QuickBooks lists do not say on which day an invoice was paid. Invollc uses the due date, or the issue date if the due date is still ahead.
- Dollar values are calculated at the European Central Bank rate of each invoice date, like any other invoice.
- Attachments and the chart of accounts stay in QuickBooks: Invollc does not do double-entry bookkeeping.
